The more personalized your emails are, the more they reflect the effort and research you’ve put into them. This can take a substantial amount of time, often ranging from ten to thirty minutes per email. However, with the right tools, this process can be streamlined significantly.
Introducing Clay
In this guide, we’ll explore how to send one thousand personalized cold emails in under ten minutes using Clay, a powerful tool that simplifies the process of finding and enriching leads. This software enables you to create tables, map leads, personalize communications, and send out emails efficiently.
Setting Up Your Campaign
For this example, we are targeting companies with 11 to 50 employees in the fintech or private equity sectors, specifically those using HubSpot or Salesforce. Here’s how to set up your campaign:
Create a new table in Clay to find companies from LinkedIn.
Specify your parameters, such as company size and relevant keywords in their LinkedIn description.
Limit the search to the United States, United Kingdom, and Canada.
After filtering, we identified 4,846 potential companies to target.
Enriching Your Data
Next, it’s time to enrich the data to ensure we only contact relevant companies. By using the tech stack waterfall feature in Clay, we can identify which companies use HubSpot or Salesforce. After filtering, we found 863 companies that matched our criteria.
Finding Contacts
Once we have our target companies, the next step is to find the right contacts. In Clay, create a new table to find people associated with the identified companies. Set the job title criteria and limit the number of contacts per company to three. After running the enrichments, we imported 409 relevant contacts.
Personalizing Your Outreach
To personalize the outreach further, we will use Clay’s integration with OpenAI to craft customized outreach ideas for each contact. The goal is to create a unique selling proposition that resonates with each company. For instance, if a company organizes finance summits, the outreach could propose automating invitations to these events.
Validating Emails
After generating personalized messages, the next step is to find and validate the work emails of our contacts. Clay’s waterfall feature can help in this regard, ensuring that the emails we send will reach their intended recipients.
Creating the Campaign in Instantly
Now that we have our enriched list of contacts and validated emails, it's time to upload this information into Instantly to create the actual email campaign:
Go to the campaign view in Instantly and create a new task campaign.
Upload your CSV file with the leads.
Map out the variables such as first name and company name for personalization.
For the email subject, we can keep it simple, such as "Quick Question". The body will pull in personalized variables to ensure that each email feels tailored to the recipient.
Previewing Your Emails
Before sending, it’s crucial to preview your emails to ensure they appear correctly. A sample email might look like this:

This level of personalization ensures that emails do not come across as generic or automated, enhancing the likelihood of engagement.
